Historical work CSV guide

Prepare your earlier job records, one principal row per job followed by any team member rows.

Download CSV template

Download CSV guide (PDF)

Try a sample history file

Both files contain fictional data and use principal licence 100002 (QLD / qld-qbcc). Counts exclude the header row. Both include start_date, completion dates, job descriptions, invoice references and non-deliverable sample email addresses.

Team import example

10 data rows across 4 jobs

Four principal rows and six member rows show how to group each job. Three different team members appear across the jobs, including members returning on later jobs. A successful check displays the proposed team tree and sample invitation.

Single-tradie import example

5 data rows across 5 jobs

Five principal rows show completed carpentry jobs carried out by one tradie. There are no member rows, so no team tree or team invitation is shown.

Download single-tradie example (5 records)

Enter 100002 in the checker below, then select either downloaded file. This is a preview only: no history is stored and no emails are sent. Use the blank template above for your own records.

Check your history file before launch

The CSV is read only in your browser tab. No history is uploaded or stored. No customer emails are sent. Keep your original file and update it as more jobs finish.

First enter the licence number from your file to enable Choose file (use 100002 for either fictional example). Work categories describe the job, not licence permissions.

Use one category per job. For multi-trade building projects use building; add member rows for other tradies on that job. Use other and describe the work when no category fits.

Enter your licence number above to enable file selection.

Record numbers count the header as 1; a quoted multiline field remains one record. Dates out of order prompt a warning, not a rejection: concurrent jobs can be valid. Start dates must be on or before completion dates; same-day jobs are valid. Customer identity, attendance, invoices and licence ownership need later verification. Passing these checks does not guarantee a future production import.

    Prepare your file

    1. Download the current template and keep all thirteen headings unchanged.
    2. Start each job with a principal row. Put its member rows immediately below it.
    3. Use one principal business per file. Repeat the same job details on member rows.
    4. Export UTF-8 CSV. Keep dates and licence numbers as Text in Excel so YYYY-MM-DD and leading zeros survive.
    5. Maximum 500 rows including members, 1 MB, and 500 characters per field.
    State and authority codes

    Column reference

    Keep these thirteen headings unchanged.
    ColumnWhat to enter
job_referenceRequired job identifier. Repeat only for members immediately below that job's principal row.
record_roleRequired principal or member. Each job starts with exactly one principal.
business_nameRequired business name for the tradie on this row.
jurisdictionRequired issuing state or territory, e.g. QLD.
authority_idRequired regulator code matching jurisdiction, e.g. qld-qbcc. Use the on-page authority catalogue.
licence_numberRequired exact licence for this row. Principal must match the selected or registered licence. Keep leading zeros.
tradie_emailRequired for members; optional for principal. Supply an authorised business contact for the proposed invitation.
work_categoryRequired published MyTradie category describing the job, not licence permissions. Repeat principal's value on members.
start_dateRequired actual job start date, YYYY-MM-DD. Not future or after completed_date. Replaces start_time.
completed_dateRequired actual job completion date, YYYY-MM-DD. Not future. Same-day work is valid.
work_summaryRequired factual job description. Repeat the principal's value on members; avoid unnecessary personal data.
invoice_referenceRequired reference unique to the job. Repeat on member rows; retain the invoice separately.
customer_emailOptional authorised customer contact. Repeat principal's value on members. Missing email prompts a warning.

    Checks and verification

For member rows repeat work_category, start_date, completed_date, work_summary, invoice_reference and customer_email exactly. Each licence may occur only once per job. Its business name and email must be consistent throughout the file. A member may work on several jobs; the preview groups them under their jobs.

The principal retains management of the engagement. Members are proposed participants, not automatically verified team members. Both parties must agree to membership and dates. Job dates do not establish continuous employment between jobs. A CSV does not transfer contractual responsibility or confer edit access on members.

Do not add scores or verification columns. Do not enter formulas or values starting with =, +, @ or -. Export quoted CSV correctly when a field contains commas. Duplicate principal job references and invoices used by different jobs are rejected. Unsorted completion dates prompt review, not rejection.

The fictional sample uses principal licence 100002, member licence 100003, QLD / qld-qbcc and non-deliverable example.invalid email addresses. Enter 100002 in the launch checker. It demonstrates one team job and one solo job. Keep your original file and recheck after adding history.

Passing the check does not prove attendance, quality, licence ownership or customer identity. Imported history remains reconstructed and unverified until independently checked. No TAD changes follow from this file check or development import.
